Financial FAQS
Who will I be dealing with for my financial and billing concerns?
We work with MJM Revenue, a medical billing company that works primarily with orthotic medical claims. They know all the ins and outs of medical billing and make sure we put our best effort forward in getting your claim paid as quickly and as cleanly as possible. They can be reached at billing@babybearcranialclinic.com.
How are medical services at Baby Bear Cranial Clinic billed?
We offer a free consultation for all of our services so there is no billing for your first appointment
If you proceed with a cranial remolding orthosis (CRO) or other orthic device this will be billed as Durable Medical Equipment (DME). DME is billed as a treatment- this means the item itself, as well as all of the appointments accompanying the treatment, are billed at one all-inclusive cost.
For helmets, the only additional charges you could incur are if you choose not to proceed with a CRO but do proceed with private pay services, including follow-up head scans, preventative head shape training or occupation therapy sessions. These appointment types have set private pay costs.
For other orthotics including AFOs, SMOs, or Scoliosis braces, there may be charges for repairs, strap replacements, socks, or additional miscellaneous items. Repairs done within 6 months of the device's delivery are considered part of the initial treatment.
How do I know if my insurance company will pay for the orthotic device recommended?
You can start by reviewing your policy or benefits summary for details on durable medical equipment (DME) or orthotics, including in-network and out-of-network benefits, pre-authorization requirements, co-pays, or deductibles. Contact your insurance provider using the customer service number on your card to confirm coverage, asking if the device is covered, any out-of-pocket costs, and whether referrals or specific suppliers are required. Many clinics, including ours, offer assistance with insurance verification and pre-authorization. Find a list of our in-network insurance contracts HERE.
When do I need to make payment?
We request payment of copays and deductibles at the time of ordering for all orthotic devices, including cranial remolding helmets.
The cost of treatment will put my family in financial hardship- what should I do?
Several grant programs can help with the cost of a cranial remolding orthosis. Each program has its own separate application process. Learn more here (scroll to the bottom of the page): INSURANCE AND FUNDING
We also have made special circumstance payment plans on a case-by-case basis. A credit card must be on file for all payment plans.
